BTSoft Terms of Use

These Terms of Use govern access to and use of the BTSoft website and platform.

By visiting the website, creating an account, using a demo, using a trial version, or activating a subscription, you accept these Terms of Use.

If you do not agree with these Terms of Use, you must not use the website or the platform

1. Who we are

The BTSoft platform is provided by the sole proprietorship under the name JANCAJ JETMIRA AMALIA, trading as Best Team Software, with registered address at 8 Kerkyra Street, Nea Makri, Attica, Greece, Tax Identification Number 137364734, Tax Office KEFODE Attica, and contact email info@btsoft.gr.

BTSoft is an online business management platform for small and medium-sized businesses..

2. Description of the service

BTSoft may include, depending on the subscription plan and the enabled features:

  • CRM and customer management.

  • Lead management.

  • Quotations and orders.

  • Products, categories, prices, and commercial management.

  • Inventory, stock movements, reservations, and alerts.

  • Procurement and suppliers.

  • Documents, electronic invoicing, and myDATA features.

  • Financial overview, reports, and analytics.

  • Calendar, tasks, activities, and follow-ups.

  • Email/CRM inbox and customer communication.

  • B2B catalogue or B2B orders, where included in the plan.

  • AI assistant and AI features, where enabled.

  • User, role, permission, and company settings management.

BTSoft reserves the right to add, modify, improve, or remove features for the purpose of improving the service, enhancing security, or supporting the commercial development of the platform.

3. Account creation

The use of the platform requires the creation of an account.

The user is required to provide true, accurate, and up-to-date information.

The user is responsible for maintaining the confidentiality of their login credentials, such as email address, password, or other authentication methods.

The user must notify BTSoft immediately in the event of suspected unauthorized access or account breach.

BTSoft is not liable for any damage resulting from the user’s negligence in safeguarding their access credentials.

4. Trial use and demo

BTSoft may provide demo or trial access to the platform.

Trial use is provided for the evaluation of the service and may have limited duration, limited features, or limited data.

BTSoft reserves the right to modify, discontinue, or suspend demo or trial accounts at any time, particularly in the event of misuse, technical risk, or unauthorized use.

It is not recommended to enter real, sensitive, or critical business data into a public demo environment, unless otherwise agreed.

5. Subscriptions and payments

Use of BTSoft may be provided through subscription plans.

The features, limitations, users, functionalities, AI capabilities, usage limits, and prices of each plan are described on the applicable pricing page or in the commercial offer agreed with the customer.

BTSoft reserves the right to modify the available plans, features, and prices. In the case of an active subscription, the customer will be informed in due time of any material changes affecting them.

Payments may be made through a third-party payment provider, bank transfer, or another agreed payment method.

In the event of late payment, BTSoft may restrict, suspend, or terminate access to the service after relevant notice, unless otherwise agreed.

6. AI add-ons and usage limits

Certain AI features may be provided as separate add-ons or may be included in specific plans.

The use of AI features may be subject to monthly limits, quotas, technical restrictions, cost limits, or fair usage policies.

BTSoft reserves the right to temporarily or permanently restrict the use of AI features in the event of excessive use, technical burden, misuse, breach of terms, or risk to the security of the service.

The answers, analyses, suggestions, and drafts generated by AI features are supportive in nature and do not constitute legal, tax, accounting, financial, or professional advice.

The user is responsible for reviewing and making the final decision before using or approving any AI suggestion or action.

7. User obligations

The user agrees:

  • To use the platform in accordance with the law and these Terms.

  • Not to use the platform for illegal, misleading, malicious, or abusive purposes.

  • Not to attempt to gain unauthorized access to accounts, data, systems, or infrastructure.

  • Not to disrupt, overload, or interfere with the operation of the service.

  • Not to use automated means, bots, scraping, or mass data extraction without authorization.

  • Not to copy, modify, analyze, decompile, disassemble, or attempt to reverse engineer the platform.

  • Not to use the platform for the development of a competing product or for unauthorized competitive analysis.

  • Not to upload malicious software, viruses, harmful files, or content that infringes third-party rights.

  • To ensure that they have the right to process the data they enter into the platform.

8. Customer data

The data entered by the customer into the platform remains the property and responsibility of the customer.

The customer is responsible for:

  • The legality of the data they enter.

  • The accuracy and updating of the data.

  • The lawful basis for processing personal data relating to their own customers, partners, suppliers, leads, or contacts.

  • Managing users and permissions within their own organization.

  • The use of exports, reports, emails, documents, or other actions carried out through the platform.

BTSoft does not claim ownership of the data entered by the customer into the platform.

9. Privacy and data protection

The processing of personal data is carried out in accordance with the BTSoft Privacy Policy and Cookie Policy.

For the business data entered by the customer, BTSoft acts as a Data Processor, unless otherwise specified.

For business customers, a separate Data Processing Agreement may be provided upon request.

10. Documents, myDATA, and tax-related features

BTSoft may provide features for creating, managing, sending, or monitoring documents, as well as integration with myDATA or other tax-related services.

The customer is responsible for:

  • The accuracy of their business details.

  • The accuracy of customer, product, VAT, document, and classification data.

  • Reviewing documents before issuance or submission.

  • Compliance with their tax and accounting obligations.

  • Working with an accountant or tax advisor where required.

BTSoft provides a technological tool and does not replace the customer’s accountant, tax advisor, or legal advisor.

11. Availability, maintenance, and technical work

BTSoft makes reasonable efforts to ensure the smooth and uninterrupted operation of the service.

Maintenance, upgrades, bug fixes, or technical work may be carried out and may temporarily affect the availability of the platform.

Where possible, such work will be carried out at times that cause the least possible disruption.

BTSoft does not guarantee that the service will always be available without interruptions, delays, or errors.

12. Backups and recovery

BTSoft may perform technical backups for the protection and recovery of the service.

Backups do not replace the customer’s obligation to maintain their own copies of important files, exports, financial data, or documents where this is necessary for the operation of their business.

The ability to recover data depends on technical, time-related, and commercial limitations.

13. Support

BTSoft may provide support via email, contact form, telephone, remote connection, or another available channel.

The level, response time, and type of support may vary depending on the subscription plan or commercial agreement.

Support concerns the use of the platform and does not necessarily cover accounting, tax, legal, or specialized consulting services.

14. Intellectual property

The BTSoft platform, design, code, structure, logos, trademarks, graphics, texts, features, documentation, and all related material are the property of BTSoft or its rights holders.

The use of the platform does not grant the user or customer any ownership rights over the software.

Only a limited, non-exclusive, and non-transferable right to use the service is granted, in accordance with these Terms and the active subscription plan.

15. Suspension or termination of access

BTSoft may suspend or terminate user or customer access in the event of:

  • Breach of these Terms.

  • Late payment.

  • Suspected unauthorized access.

  • Misuse of the service.

  • Technical or legal risk.

  • Use that may affect the security, stability, or reputation of the platform.

  • Request by a competent authority or obligation arising from the law.

Where possible, BTSoft will notify the customer before suspension or termination, unless there is an urgent security reason, legal obligation, or risk to the service.

16. Limitation of liability

BTSoft is provided as a technological business management tool.

BTSoft is not liable for:

  • Incorrect use of the platform by the customer or their users.

  • Incorrect, incomplete, or inaccurate data entered by the customer.

  • Business, accounting, tax, or legal decisions made by the customer based on data or reports from the platform.

  • Interruptions or issues caused by third-party providers, networks, internet access, hosting, payment services, email services, third-party APIs, or public services.

  • Loss of profits, indirect damage, loss of business opportunity, or loss of data not caused by intentional misconduct or gross negligence by BTSoft.

  • Temporary inability to access the service due to maintenance, technical issues, or force majeure.

Nothing in these Terms limits liability that cannot be limited under applicable law.

17. Third-party services and integrations

BTSoft may connect with third-party services, such as payment providers, email services, calendars, myDATA, AI services, e-shops, third-party APIs, or analytics tools.

The operation of these services may be governed by separate terms, policies, and technical limitations of the respective providers.

BTSoft is not liable for changes, interruptions, restrictions, or errors in third-party services that affect the operation of the platform.

18. Force majeure

BTSoft is not liable for any delay, inability, or interruption in the provision of the service caused by events beyond its reasonable control, including, indicatively, natural disasters, war, strikes, cyberattacks, network outages, infrastructure failures, power outages, decisions of authorities, or problems caused by third-party providers.

19. Modification of the service and terms

BTSoft reserves the right to modify the service, plans, features, prices, and these Terms.

The latest version of the Terms will be available on the BTSoft website.

In the event of significant changes affecting active customers, BTSoft will make reasonable efforts to inform customers by email or through the platform.

Continued use of the service after the Terms have been updated constitutes acceptance of the new Terms.

20. Governing law and jurisdiction

These Terms are governed by Greek law.

For any dispute arising from the use of the platform or these Terms, the competent courts of Athens, Greece shall have jurisdiction, unless otherwise provided by mandatory law.
