Your phone answers — and it knows your business inside out.
Big companies have a call centre. Now so do you.
The BTSoft AI Receptionist picks up your calls in Greek, 24/7. And because it lives inside your platform, it doesn't speak in generalities: it books appointments in your real calendar, answers about stock and prices from your real catalog, and records every request as a lead in the CRM — with a full summary of the conversation.
Whatever it can solve, it solves. Whatever needs you, it hands over neatly organised.

How many calls did you miss this week?
Every missed call is a customer who may have called the next name on their Google list. On the road, in a meeting, after 6pm, at the weekend, in August — the business "closes", but customers keep calling. The AI Receptionist doesn't solve everything. But it makes sure no call is wasted: it either serves the caller on the spot, or records who called, what they asked for and how to reach them.
Six things it does — with your real data.
Books appointments in your calendar
"I'd like an appointment for Thursday afternoon." It checks availability in your calendar, suggests times, confirms verbally — and the appointment appears in your schedule.
Answers about products, prices and availability
"Do you have it in stock? How much is it?" It reads the catalog and stock from BTSoft and answers with current data — not a script written three months ago.
Turns calls into leads, without mistakes
A new customer asking for a quote? It captures name, phone and exactly what they need — and repeats the details digit by digit before saving them, so your follow-up doesn't trip over a wrong number. The request appears as a new lead in the CRM.
Recognises your customers
When an existing customer calls, the receptionist recognises them by their number and greets them by name, knowing it is talking to someone familiar — not a stranger. (Optional — you enable it.)
Keeps you "open" even when you're away
Holiday mode: lunch break, weekend, mid-August — with one button, the receptionist takes over completely: it tells callers when you're back and keeps every request, so you return to a ready list of waiting customers.
Trained on your own knowledge
You feed her with user guides, technical specs and the frequent questions about your products or services — and she answers accurately, without the customer waiting for a technician. Whatever she can't cover, she forwards to you.
It doesn't replace your team. It protects them from the calls they can't get to.
When the customer asks for a person — or when the topic goes beyond the receptionist — the call is transferred to you or to an available colleague. And not "blind": your colleague knows who is calling and what has already been asked, before picking up. If nobody is available, the message is recorded and waits for you in the CRM.
You set the rules: who receives transfers, in what order, and what happens outside business hours.
Every call becomes knowledge for your business.
The moment the line closes, BTSoft already has ready: a summary of the conversation, what the customer asked for, how the call developed and what is pending — all tied to the customer's record, next to their emails and quotes.
- Full history and transcript of every call
- Automatic summary and call outcome
- Statistics: how many calls, when, with what outcome
- Monthly performance report in your inbox: how many calls were answered, how many outside business hours, how many appointments and leads resulted
Set up in one to two days — not as a project.
- 1
You give it an identity.
Voice, greeting, tone, and the basics of the business: opening hours, services, frequent questions. All from within BTSoft, no technical knowledge required.
- 2
It gets its own Greek number.
A new number (+30) for your business — or you forward your existing number to it whenever you don't answer or outside business hours. Your customers change nothing.
- 3
It answers, acts, informs.
From the first call it works on your data: calendar, catalog, customer records. And you monitor everything — live calls, history, settings — from BTSoft.
There are AI receptionists. And there is a receptionist that knows your business.
A standalone AI receptionist learns your opening hours and a few common questions — and stops there. The BTSoft receptionist is part of the system that already runs your business:
- It knows your stock and your prices — because it reads the same catalog you invoice from.
- It knows your customers — because the customer records are here, not in "another program".
- It writes where you work — leads, appointments and summaries go into your CRM, not into a separate dashboard you have to remember to check.
- It hands over to a person with context — your colleague knows what the customer asked for before saying hello.
One platform, one subscription, one view of the business — and now, one voice.
Legal, transparent, with control in your hands.
- Every call starts with a recording notice — an obligation the receptionist meets automatically, on every call.
- Recordings are kept for a defined period and deleted automatically.
- Outbound calls only to customers who have consented — no unsolicited calls.
- Full action history: you always know what the receptionist did and when.
Frequently asked questions
Will the customer realise they are talking to an AI?
Yes — and we say so upfront: the receptionist introduces itself and gives the recording notice. But the experience is a natural conversation in Greek, not "press 1 for...". Most customers are simply glad someone answered.
What happens if it doesn't know the answer?
It doesn't improvise. It either transfers the call to you, or records the request with the customer's details so you can get back to them. No call ends in "I don't know, goodbye".
What if it writes down the wrong name or phone number?
That's why it confirms: before saving details, it repeats them back digit by digit and asks for a "yes". Ten seconds that make sure your follow-up doesn't hit the wrong number.
Can I keep my existing number?
Yes. Either you get a new number dedicated to the receptionist, or you set your existing one to forward calls to it — for example only when you don't answer or outside business hours. Your customers call the same number they always knew.
How long does setup take?
Usually one to two days: you fill in the business details, choose a voice and greeting, test it — and it's ready. We help you through the whole process.
Is recording calls legal?
Yes, as long as the caller is informed — and the receptionist announces it automatically at the start of every call. Recordings are kept for a defined period and then deleted, in line with GDPR.
What exactly do I see from each call?
Who called, when, what they asked for, the full transcript, summary and outcome — all on the customer's record in BTSoft. Plus a monthly report of what it delivered: calls, appointments, leads.
Do I need BTSoft to use it?
Yes — and that is exactly its strength: it books appointments in your calendar, reads your catalog and writes leads into your customer records. It works as an add-on to BTSoft plans with AI.
How much does it cost?
The AI Receptionist is added as an add-on to BTSoft plans with AI, with a monthly fee and included service minutes. See pricing for current rates — and we notify you before you approach your minute limit, with no automatic extra charge.
Can it also make outbound calls?
Only to customers who have given explicit consent — for example an appointment reminder. No unsolicited calls.
Don't take her word for it. Hear her.
